HVAC/Mechanical Service Coordinator
The Service Coordinator plays a key role in supporting our HVAC service operations by ensuring efficient scheduling, clear communication, and accurate documentation. This position serves as a central point of contact between customers, technicians, vendors, and management.

Core Responsibilities:

  • Develop, manage, and communicate the daily service schedule to field technicians
  • Coordinate scheduling and service timelines directly with customers
  • Review service orders daily to confirm job completion status, determine invoicing readiness, and identify parts or return-trip requirements
  • Work with HVAC parts suppliers and equipment manufacturers to obtain pricing, availability, and lead times
  • Prepare and communicate repair estimates to customers and secure approval prior to work completion
  • Notify the Service Manager when service calls are completed, documentation is finalized, and jobs are ready for invoicing
  • Maintain accurate and up-to-date customer HVAC equipment records
  • Track and manage preventative maintenance intervals and scheduling

  • Ability to coordinate and communicate with multiple service technicians throughout the day
  • Proficiency with Microsoft Outlook, Excel, email, texting, and general office software
  • Ability to work in-person, Monday through Friday, 8:00 AM – 4:30 PM (40Hours per week)

Experience
  • This position may be suitable for an entry-level candidate who demonstrates strong aptitude, organization, and the ability to quickly learn service order processes and workflows
  • Familiarity with HVAC service and repair industry is a plus but not required.
