Project Coordinator - Close Out Specialist

Job Description
We are seeking a detail-oriented, experienced professional with prior experience managing and submitting telecom or construction closeout documentation packages. This individual will work within a team environment for a growing construction firm and serve as the primary coordinator for wireless project closeouts, ensuring all documentation meets client and carrier requirements.
The ideal candidate is a self-starter who can work independently, manage multiple projects simultaneously, and communicate effectively with clients, field crews, and internal stakeholders.

Frequent Daily Tasks & Responsibilities (include but are not limited to):

  • Serve as the primary point of contact for all closeout documentation, coordinating with clients, vendors, project managers, and field foremen.
  • Communicate directly with clients on a daily basis while upholding company values and documentation standards.
  • Collect, review, organize, and submit complete closeout documentation packages per client and carrier specifications.
  • Review field photographs and documentation to ensure alignment with scope of work, construction stages, installed equipment, and audit requirements.
  • Manage, monitor, and track closeout packages for completeness, accuracy, and timely submission.
  • Create, maintain, and organize site folders and documentation within OneDrive and client-specific portals.
  • Track site start and completion dates and communicate documentation requirements and deadlines to ensure materials are captured before crews demobilize.
  • Provide quality checks, follow up on documentation exceptions, and develop solution-based resolutions.
  • Report project status and performance data to clients as required by management.
  • Continually review closeout results and processes to identify opportunities for improvement in execution and efficiency.
  • Interact with client systems and platforms for uploads, reporting, and compliance verification.

Qualification Requirements
  • Strong attention to detail and organization skills.
  • Prior experience submitting closeout documentation packages (telecom, wireless, construction, or similar industries preferred).
  • Ability to manage multiple projects and deadlines simultaneously while prioritizing workflow across competing demands.
  • Strong data handling and document management skills, including structured uploads, file size limitations, and compressed (zipped) files.
  • Proficient in OneDrive, Excel, email, and general document management tools.
  • Ability to communicate clearly and professionally via phone and email with clients, field crews, and internal teams.
  • Comfortable working independently with minimal supervision in a fast-paced environment.
  • Willing and able to work in an office setting (with flexibility for remote work as applicable).
Technical Aptitude (Training Provided):
  • Familiarity with wireless infrastructure and telecom construction concepts, with the ability to recognize common site equipment and systems from photo documentation.
